Transition to Infor: HEMM System Freeze Starting 9/28

We are instituting a temporary restriction on select actions in the HEMM system to ensure integrity in our data as we convert UMMC Downtown Campus, UMMC Midtown Campus and UM Rehab & Ortho Institute to Infor Supply Chain Management.

This restriction will be in place September 28 through November 2, 2020.

The restriction applies to the following locations:

  • UMMC Downtown Campus
  • UMMC Midtown Campus
  • UM Rehab & Ortho Institute
  • UM Shore Regional Health
  • UM Shore Medical Center at Easton
  • UM Shore Medical Center at Chestertown
  • UM Shore Medical Center at Dorchester
  • UM Shore Emergency Center at Queenstown

Actions Being Frozen

  • New Vendors and New Items
  • Par and Template Management

Clinically Emergent Requests (Patient-Specific Priority 1 Items)

Patients requiring emergent care come in during all hours of operation, and this freeze will not affect your ability to care for these patients. To submit a Clinically Emergent request, please follow the established CQVA Rapid Approval process, which begins at the local hospital:

  1. Contact your local supply chain leader with specifics of your request.

  2. Submit items to the Clinical Quality Value Analysis (CQVA) email ummscqva@umm.edu.

  3. Include “Priority 1 Indication” and the product information in the email subject.

  4. If this need occurs during “off hours,” please submit the information after care delivery so the review can be completed and the HEMM system can be updated.

New Vendors and New Items

During the freeze, you will be able to:
  •     Look at vendor information and item information
  •     Run reports
  •     Run queries

During the freeze, you will not be able to:

  •     Add new vendors
  •     Update vendors
  •      Add or update items in the Item catalog except Priority 1 Items

If you need to add a vendor or item, submit it to UMMSSupplyChainVendor@umm.edu, where it will be reviewed and processed.

Par and Template Management

During the freeze, you will be able to:

  •     Order from your template and pars
  •     Look up items on your template and pars

During the freeze, you will not be able to:

  •     Add new items to template or pars
  •     Update quantities on par forms
  •     Remove items from templates or pars

Clinically Emergent Par and Template Changes

Contact your local supply chain leader with the specifics of the request.

What if I am Not Part of Listed Locations for this Restriction?

To ensure the Vendor and Item lists are accurate for the future moves to Infor, please continue to perform your data validation for all perpetual and par inventory. Ensure your bin locations are up to date, and please remove inactive items from the list.
